MARMALADE: the art gallery software built for 2027

At a glance

  • One record per artwork feeds the inventory, private presentations, proposals, invoices and certificates.

  • Prices stay in each work’s own currency, and the application works in English, French, Spanish and Italian.

  • Invoices and credit notes follow the European e-invoicing standard EN 16931.

  • Two plans with unlimited artworks and collectors, and 14 days to try it without a credit card.

Choosing art gallery software is a decision about the next several years, not the next few weeks. The galleries that will be at ease in 2027 share a few habits: they sell to collectors in several countries, in several languages and in several currencies; they present works privately before showing them to everyone; they issue invoices that fit the electronic formats spreading across Europe; and they do all of this with a small team. MARMALADE was designed in Paris around those four needs. Here is what it looks like on an ordinary week.

One record per artwork, entered once

A new consignment arrives from the studio. You enter the work once: title, artist, year, medium, dimensions, price, images. That single record then feeds everything else: the inventory, the private presentations you send to collectors, the sales proposals, the invoice, the certificate of authenticity, and the documents attached to the work (condition report, transport papers, correspondence). When a collector asks for the certificate again two years later, it is on the artwork’s record, where it has always been.

If your catalogue already lives in a PDF or a spreadsheet, MARMALADE reads it with artificial intelligence and creates the records for you. The works arrive in the application ready to use, with nothing to type again. Your inventory is ready to work with from the very first day.

Collectors in Geneva, Milan and New York

A collector in Geneva writes to you on the evening of an opening: she would like to see three works by the artist, quietly, before the show travels. In MARMALADE you select the three works and send her a private presentation. She receives each work on its own, on a white background, with the information she needs. The MARMALADE interface stays out of the picture, so the presentation reads as yours, whatever the identity of your gallery, from a minimalist space in Zurich to a historic townhouse in Rome.

Each artwork carries its price in its own currency: a work priced in dollars keeps its dollar price on its record, and a work priced at €1,430 keeps its €1,430. The application is available in four languages, English, French, Spanish and Italian, so a gallery in Madrid or Milan works in its own language on the same data as a gallery in London.

From the proposal to the sale

The collector in Geneva chooses one of the three works. You send her a proposal, follow it as it moves forward, and record the sale when she confirms. Her collector record now shows the exchange and the purchase, next to her earlier acquisitions and your previous conversations. The artist’s record shows the sale on his side too. When she visits in the spring, you know what she has seen, what she has bought and what she asked about, and so does the colleague who greets her at the door.

Invoices that art gallery software should produce in 2027

Across Europe, electronic invoicing is becoming the ordinary way businesses bill one another, and the shared language behind it is the European standard EN 16931. MARMALADE produces invoices and credit notes in that format from the start. The morning after the sale, you issue the invoice from the artwork’s record: the work, its price and the collector’s details are already in place. A credit note, if the terms evolve, follows the same format. Both are filed on the artwork’s record, beside the certificate and the transport papers, and found again in a few seconds.

Fairs and evenings at the gallery

A fair is a week of concentrated attention: visitors, requests, works that change hands between Thursday and Sunday. MARMALADE handles fairs and events at the gallery with their invitations and the replies of your guests, so on Wednesday you know who is coming on Thursday. At the stand, the works you brought are the same records as in the gallery, with the same prices and the same documents. A private presentation sent from the fair at nine in the evening and the invoice issued the next morning come from the same place.

An assistant for everyday tasks

MARMALADE includes an AI assistant for the small tasks that fill a gallery day. Ask it to prepare a follow up for a collector, find the works by an artist that are still available, or draft the text of a private presentation, and it does the work inside the application, on your own data.

Viewing rooms that show the work in place

For collectors who cannot come to the gallery, MARMALADE offers viewing rooms with AI renderings. The collector sees the work at its true scale, on a wall, in a setting close to her own interior, before she decides. It answers the question every collector asks: how will it look at home?

A small team that gains time

Many galleries run with two to five people who do everything: curating, selling, shipping, accounting, writing to collectors. For them, the value of art gallery software is measured in hours given back each week. One entry per artwork, one place for every document, one thread per collector: that is how those hours are won. MARMALADE comes in two plans, with unlimited artworks and collectors in both:

  • Gallery, €149 per month excluding VAT: 3 users and 2,000 newsletter emails per month.

  • Business, €289 per month excluding VAT: 5 users, 10,000 newsletter emails per month and a showcase website included, with additional users at €50 per month excluding VAT each.

Annual payment comes with a 20% discount.

Try it for 14 days

A good way to judge art gallery software is to use it with your own works. MARMALADE offers 14 days, without a credit card. Import your catalogue, send a first private presentation to a collector, issue a first invoice, and see whether 2027 feels closer.

A gallery management system for inventory, clients, proposals, catalogues and invoicing. Built with galleries, for the way they actually sell.
